Job Role: Legal Operations Specialist
Location: Bengaluru
Job Responsibilities:
- Assist with law firm onboarding, e-billing administration and maintenance, monthly accruals, and legal billing support (e.g., managing vendors, invoices, and timekeepers)
- Identify opportunities for efficiencies and cost reduction in our outside counsel spend
- Respond to emails from law firms, vendors, and department colleagues based on documented guides and processes
- Create and run reports using a variety of tools
- Gather, analyzing and interpreting data
- Find patterns and trends in the analyzed data
- Assist with updating and designing department portal
- Assist with department memberships and subscriptions
- Identify and assist with opportunities for department process improvements
- Handle special projects as needed to support the legal team; this may include conducting basic project management, benchmarking, and research and analysis of data
- Assist the legal operations manager with budget matters and optimizing workflows within the legal department
- Assist with project management by creating long- and short-term plans, including setting targets for milestones and adhering to deadlines
- Collaborate with cross-functional teams such as finance, HR, and IT
- Serve as a point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy
- Creating and maintaining documentation that includes the design, requirements, and user manuals for the organization
- Identifying the development needs for the purpose of streamlining and improving the operations of the organization for efficiency and profitability
Skills:
- Excellent written and verbal communication skills
- Technology savvy and eager to learn new platforms, applications, and technologies
- Strong analytical skills
- Proficiency in mathematics with the skill to translate complex mathematical information into understandable information
- Conversant with project management tools like Gantt Charts, JIRA, Smartsheet and MS Project
- Conversant with project management planning approaches such as waterfall and agile approaches
- Customer-service orientation
- Strong initiative and problem-solving skills
- Strong oral and written communication skills
- Report writing and presentation skills
- Creative thinker with past marketing experience is a plus
- Project management expertise
- O365 proficiency with advanced Excel, PowerPoint, SharePoint skills
- Comfortable working with large amounts of data and identifying essential data points to report on
- Knowledge of Tableau or Microsoft Power BI
- Experience with financial controls and auditing principles is helpful
- Ability to thrive in a fast-paced environment and successfully manage multiple deadlines
- Detail-oriented and data-driven
- Intellectually curious and eager to learn
